A typical trade show booth needs a back wall or backdrop, one or two banner stands, a tabletop sign, a board for pricing and QR codes, and a stand out in the aisle to pull people in. Outdoor shows add flags. Order about 1 to 2 weeks ahead so you have time for proofs and shipping.
Use this checklist to plan every sign for your booth, from the big wall behind you to the small card on your table. We also cover how many banner stands you need, a simple ordering timeline and a few design tips that keep your message visible on a crowded show floor.

The trade show sign checklist
- Back wall or backdrop: the big graphic behind your booth that says who you are.
- Banner stands: one for a 10 ft booth, two for a 10 × 20.
- Tabletop banner stand: your logo at eye level on the table.
- Foam board or poster signs: pricing, show specials and QR codes.
- Aisle sign: an A-frame or poster stand at the edge of your space.
- Flags: for outdoor shows, fairs and festivals.
- Extras: spare business cards, tape, a few zip ties and a printed copy of your booth number.
Back wall and banner stands

How many banner stands do you need?
For a standard 10 ft booth, one or two banner stands usually do the job. Use one if you have a backdrop, two if the stands are your main display. A 10 × 20 booth often uses two to four.
- Retractable banner stand: rolls up into its base and packs into a travel bag. Several widths, with an optional LED light.
- Premium retractable: wider sizes up to 60 in, with a hard case for frequent travel.
- Tension fabric stand: a smooth fabric look, single- or double-sided.
- 3 ft SEG fabric display: a slim frame with a clean, finished edge.
The back wall is the first thing people see from down the aisle. A full backdrop gives you the most impact. If you don't have one, two tall banner stands side by side can act as a simple back wall. See more ideas on our trade show signs page and banner stand printing page.
Tabletop, pricing and QR code signs

Signs people read up close
Once someone stops at your table, smaller signs do the selling.
- Tabletop banner stand: a mini 11.5 × 17.5 in roll-up that puts your logo at eye level.
- Foam board signs: light and easy to set on an easel. Great for pricing, show-only offers and a big QR code.
- Keep QR codes large and add a short line under them like "Scan for the price list."

Aisle signs and flags
An A-frame or a poster stand at the front corner of your space catches people walking by. Our poster stand is a 60 in floor stand with a double-sided sign, so it reads from both directions of the aisle. Use it for a single offer, a demo time or "Visit us at booth 214." Check with the show first, since some venues limit what can sit in the aisle.
For outdoor shows, add tall rectangle flags to help people find you from across the lot. See our custom flags page and A-frame sidewalk signs.

Your ordering timeline
-
About 2 weeks out: finish your designs
Lock in your message and artwork. Upload your files on each product page, or check out now and email your files later. Our upload page shows the size and safe area for each display.
-
About 1 to 2 weeks out: place your order
Real people check every file before it prints and contact you if something looks off. Leaving a little room means any fixes don't put you in a rush.
-
Order by 12pm: ships next business day
Orders placed by 12pm ship the next business day with free shipping. There are no rush fees.
-
Ship to your office, then bring it
Send your order to your office or home and open it before the show. Only ship straight to the venue if you've confirmed the venue accepts packages for exhibitors.
Tip. Bring a small kit for show day: packing tape, scissors, zip ties, a few clamps and a cloth to wipe dust off your graphics. Set your booth up once at the office before you leave, so you know every piece is there and how it fits together.
Design tips for banner stands
- Keep your logo and main message in the top two-thirds. The bottom is often hidden by tables, chairs and people.
- Say what you do in a few words. People decide in seconds whether to stop.
- Use large, bold sans-serif type and high-contrast colors.
- Put your website or a QR code at chest height, not at the very bottom.
- Match colors and fonts across every sign so the booth looks like one brand.
- Skip long paragraphs. Save details for your handouts and your conversations.
- Make sure your file matches the stand size, or the same shape at a smaller size. We scale it up for you.
Tip. For more on letter size and contrast, read how to design a sign people can read.
Trade show sign FAQ
How early should I order trade show signs?
Aim for about 1 to 2 weeks before the show. Orders placed by 12pm ship the next business day, but extra time leaves room for proofs and shipping.
How many banner stands do I need for a 10 ft booth?
One or two. One works well alongside a backdrop. Two side by side can stand in for a back wall.
Should I ship my signs straight to the venue?
We suggest shipping to your office first so you can check everything. Only ship to the venue if you've confirmed it accepts exhibitor packages.
Fabric or vinyl for a retractable banner stand?
We recommend UV printed fabric for our standard retractable stand. Matte vinyl is also available.
Do I get a discount for multiple banner stands?
Yes. Banner stands are 5% off for 2 or more, 10% off for 5 or more and 15% off for 10 or more.
